AUTHORITY FOR OPERATION: The group is sponsored by Visionary Meetings and draws its authority for operation from the leadership at Visionary Meetings. Any formal action of the group will require the affirmative vote of a majority of all of the participants of the group. Any modification to these guidelines must be submitted to and approved by Visionary Meetings.

Visionary Professional Group By-Laws:

  1. VPN members must be paid members of the Visionary Professional Network (VPN) and their VPN dues must be up to date.
  2. Potential members of VPN must complete and submit a membership application for approval by the VPN Leadership.

Admin Policies

  1. Fees are paid monthly $25.00 subscription fee
  2. Fees are nonrefundable. A credit will be given, upon request, to members in good standing for the unused portion of their time. A refund will be given to members who have referred someone to VPN for 2 consecutive months after the member joins.
  3.  Fees cannot be transferred from one person to another unless the fees are from the same company.
  4.  VPN is a marketing service provided by Green Phoenix Business Solutions, LLC/DBA Visionary Meetings. Green Phoenix Business Solutions or any of its units reserves the right to discontinue a member’s participation in this program.
  5. A Key fob is optional when there is not a staff person available for a $25 deposit. The deposit will be returned when the key fob is returned.
  6. Please remember that the property has a 24 hour camera surveillance camera accessible via remote applications.

Meeting Room Policies

The simple fact that we’re a community sets Visionary Meetings apart from other shared offices/workspaces. As such, we respect each other and we look out for each other. Just as important, we respect and take care of our space. Here’s the big thing: as a member of Visionary Meetings, we (and your fellow visionaries) encourage and expect you to take pride and ownership in your community.

Short abbreviated version

  • The Internet (Comcast Business Class) and local area network (WiFi and wired) are  best effort. There are NO guarantees.
  • There are NO Firewalls. Protect your computer with its internal firewall and anti-virus software.
  • Visionary Meetings is not responsible for infections, viruses, worms, etc. on your computer. As with life…use protection.
  • Be respectful of others. You are responsible for any damages (or injury) incurred by (to) you or your clients.
  • Unlawful use of the Visionary Meetings Internet connection will not be tolerated.
  • Theft or other illegal activities will result in police action against you.
  • Visionary Meetings reserves the right to not accept you as a member for any reason.
  • Visionary Meetings reserves the right to ask a member to leave for any reason.
  • If you unsubscribe “for a month” there are no guarantees room will be available when you get back. You have to reapply and get approved.
  • 1 month notice of unsubscribing from Visionary Professional Network would be appreciated.

Specific long our attorneys and insurance made us do it version

  1. The single biggest benefit of Visionary Meetings membership is access to your fellow members. We absolutely encourage Visionary Meetings members to make connections, collaborate, share ideas, provide advice, and generally make cool stuff happen. We encourage Visionary Meetings members to buy/sell goods and services from each other (except where prohibited under the Terms of Use). But members may NOT spend their days directly soliciting other members. It’s just annoying and may result in cancellation of your membership.
  2. Visionary Meetings is, first and foremost, a place to have meetings. While we want our community to be professional.
  3. We expect members to keep the kitchen area clean. Please do your dishes by either rinsing and put them in the blue tub under the sink or hand-washing them and drying them and putting them back up. Please do your guests’ dishes. The friendly staff at Visionary Meetings (and your fellow members) will get really, really grumpy if you leave your dirty dishes lying around.
  4. Please label and date the food you put in the refrigerator. The friendly Visionary Meetings staff reserves the right to throw anything in the refrigerator away, including breakthrough science experiments.
  5. Caffeine is the lifeblood of Visionary Meetings. If you drink the last cup of coffee, please make a new pot.
  6. The price of B/W Prints are .08 and Color prints are .40. If you need printing ask the hostess to set you up to access the printer.
  7. Access to conference rooms is one of the great benefits of Visionary Meetings membership. Here’s some things regarding conference rooms:
  8. Please clean up after using a conference room. If you re-arrange the furniture in the conference room, we expect that you will return it to the original set-up when you’re finished. Return any borrowed chairs, turn off the lights and wipe the tabletops if food or drinks were served or if a spill occurred. Alert a staff member any building-related problems or items that need fixing. It is important that we leave each conference room clean and ready for the next occupants.
  9. We cannot allow dogs or pets (except service animals) at Visionary Meetings.
  10. We expect members to be mindful of security at all times. NEVER go out the back door unless it’s an emergency.
  11. Visionary Meetings is a smoke-free facility. Please smoke outside 20 feet away from windows and doors. And NEVER go out the back door to smoke.
  12. Visionary Meetings has blue recycle containers located at several places throughout the suite. Although marked “For White Paper Only,” colored paper, newspapers, magazines, and catalogs may be recycled in these containers. Cardboard boxes cannot be recycled in these containers and must be broken down and given to a staff member for recycling. Please remove all paper clips, binder clips, and sticky notes before recycling.
  13. Confidential Material/Shred Confidential/sensitive material should not be placed in the recycle containers, as the recycle service does not shred the materials. It is preferable to shred confidential/sensitive materials in small quantities on a regular basis rather than letting it accumulate. A shredder is located in the front desk. Shredded material may be placed in the recycle containers. Please remove all paper clips, binder clips, and sticky notes before shredding.
  14. Do not adjust the thermostats and do not block the heating/air conditioning vents.
  15. If you are involved in a multi-level or network marketing company, please note that we do not allow recruiting, offers to host a party, or the selling of third-party products or services at Visionary Meetings.

Meeting rooms – can be reserved online. If no one has reserved the space, it is available on a first come, first serve basis.

Respect
Lets all be respectful of other members, all the time. Lets foster a professional and vibrant creative environment by enabling others to work with a minimum of distraction and distress.

Neatness
Please make sure the (coffee cups, papers) are put in the trash before you leave . Small things, like wiping the table down are a big help.

Guests
You are responsible for your guests from the time you enter and the time you leave.

The purpose of having a meetings room at Visionary Meetings is to offer a pleasant and convenient space for programs that align with the VM Core values and mission. It is therefore available for rent primarily to groups offering programs on such subjects.

Terms

  • After you have reserved a time with a staff member, a check for 50% of the full amount of the rental must be received at the time of reservation, in check or credit card or within 5 days of the reservation. The date(s) you have booked the meeting room MUST appear on all checks. This first 50% deposit is not refundable.
  • The remaining 50% of the full rental amount is due before your first reserved time unless other arrangements have been made by the manager. If you need to cancel your event and it is at least four days before your first reserved time, the second payment of 50% will not be due. Once you have made that second 50% payment, it is also not refundable.
  • Room rental shall be on a first come, first serve basis once rental agreement is on file
  • Room availability is Monday-Sunday 9:00 a.m.-9:00 p.m.
  • Visionary Meetings reserves the right to terminate contract as we see fit
  • All individuals and/or businesses must complete a room rental agreement form
  • The conference room will be set up with tables and chairs to your specifications by the VM staff. Visionary
  • A staff member will provide a list of caterers and restaurants in the area if you would like to serve lunch or light refreshments
  • If serving food you must possess the proper permits prior to your event (if the event is open to the public)

Regulations

  • Renters are responsible for any damage to the facility and/or contents of fixtures. All damages must be reported to VM staff immediately.
  • The room must be left in a neat, clean and orderly condition. If these conditions are not met, a Room Clean-up Fee of $200.00 or the actual cost of cleaning, whichever is higher, will be charged and notice will be given to the group. Individuals holding events assume responsibility for any damage to rooms, contents of equipment used will be charged for any necessary repairs or replacement.
  • Renters understand that nothing shall be attached to the walls, ceiling, or any of the fixtures.
  • It is understood that the VM is in no way responsible for any personal injuries, property damages or other liabilities that may be incurred during use of their facility. Renter agrees to release indemnity and hold the VM harmless of any such damages
  • The VM is a drug, alcohol, smoke and loud noise free facility
  • At no time will Visionary Meetings, its employees, or affiliates be responsible for setting up, breaking down, monitoring, maintaining or securing any item used or needed by the group, nor will same be responsible for any loss of property, personal or property injury or damage of the group or its participants at any time.
  • The area subject to agreement shall be used only for the purposes for which the agreement was granted and such use will be limited to the period of time and activity specified on the agreement.
  • Applicant shall at all times during its use and occupancy of the area provide sufficient supervision and maintain adequate control of its employees, customers, or invitees.
  • In the event there are any licenses or permits required by any governmental agency or authority for the use of the area, Applicant assumes all liability for obtaining said licenses and/or permits. No unlawful activities shall be permitted in the use of the area.
  • Attending guests must conduct themselves in a courteous and professional manner.
  • All electrical needs must be approved by VM seven (7) days in advance of the date of usage. Any extension cords needed shall be supplied by the Applicant. Heavy duty cords must be used under all rubber matting. Edges of the matting may be taped down with masking tape only (no duct tape). Electrical cords will not be allowed in passageway areas.
  • Set up and takedown will occur only during the times designated; other arrangements must be made with VM, if necessary. We recommend that you reserve the room from at least 15 minutes before your event begins (in order to include set-up time), and until at least 15 minutes after your event ends (in order to include clean-up time).
  • There is a two hour minimum on all meeting room rentals
  • To retain the ability to adapt to new or changing circumstances, VM reserves the continuing right without the necessity of advance notice or hearing to alter, amend, modify, change or terminate these rules or any of them and to make new or different rules as the need arises.
  • Non-compliance of these Rules and Regulations shall terminate agreement without prior notice.

Additional Fees

  • The kitchen may be used to gather food and beverages. Equipment available for use includes a refrigerator, microwave, coffee maker and toaster.
  • Coffee and tea service can be brought to your meeting room for a fee $15
  • Overstay Fee of additional $15.00 per hour applies to those rentals that are booked to end when your contract specifies. If the renter stays past the contract time, this fee will be charged.
  • Copying fees; B&W .08, Color .40 per page

Arrival

If you have a key fob and no other person is in the space and there is no staff person, upon arriving for a scheduled meeting room, please take a moment to look over the checklist of what needs to be done. If you want coffee the instructions are in the VPN binder.
